The 5 Things Your Event Hire Fees Can Cover

If you're hiring props and accessories for your special event, you'll have to pay event hire fees.

Have you ever wondered why they cost what they do?

If your event hire fees don't specifically include delivery, installation and pickup fees, what else might you be paying for?

Here's five things your event hire fees go towards.

Event management work
It takes time to write a quote, speak with customers on the phone or respond to your message via email, text, Instagram or Facebook, to check availability and confirm bookings. This is what you pay us to do - and we have to charge for it.

Part of your event hire quote for your items goes towards us making it happen for you, long before the item is ever delivered and installed at your venue.

Item replacement
Over the course of a few years from frequent event hire usage, items break, rip, crack, chip, smash, scuff or otherwise show signs of wear and tear - not to mention that occasionally event hire items are stolen - which is why we have to invest in replacing them.

Typically, a hire fee for an item is roughly one-third of its cost of replacement.

Cleaning
If you're hiring cutlery, glasses and/or charger plates they have to be washed, dried, counted and repacked.

If you're hiring candelabras or tealight candle holders and using wax candles, part of your fee goes towards cleaning off melted wax and soot marks.


If you're hiring tablecloths, table runners or napkins, they have to be washed, dried, counted and repacked. If they're particularly stained or dirty they need to be cleaned with stain removal treatment. If they're fragile or dry-clean only, off to the specialist laundry they go.

Essential items
If you're hiring anything that's battery-operated, such as LED pillar candles, we have to pay for AAA, AA or coin batteries as well as the time to remove and replace them to ensure they work for you.

If you're hiring carts that involve food - such as fairy floss, hot dogs, coffee, biscuits, ice cream etc - you're paying for the actual items you consume.

If you're hiring anything that's electrical, venues require us to get items with electrical cords professionally tested and tagged by an electrician.

Tools and hardware
If you're hiring anything that requires tools and accessories - such as festoon lighting installations - part of your hire fee will be paying for drills, ladders, screwdrivers, bolts, cable ties, sandbags, poles, and rigging equipment.
